Key Responsibilities:
Meeting Management: The Administrator is responsible for preparing agendas and keeping minutes for all lodge meetings, including regular membership meetings and Board of Officers meetings. They must ensure that meetings are conducted smoothly and efficiently.
Record Keeping: The Administrator serves as the corporate secretary, maintaining accurate records of all lodge activities, financial transactions, and official documents. This includes ensuring that all minutes are signed by the presiding officer and the Administrator.
Financial Oversight: The Administrator is tasked with managing lodge finances, including drawing and signing checks, maintaining financial accounts, and ensuring that all funds are deposited in a timely manner. They must also keep detailed records of all financial transactions.
Membership Engagement: The Administrator plays a role in promoting membership growth and engagement within the lodge. They may assist in organizing events and activities that foster community involvement and support the lodge's mission.
Compliance and Reporting: The Administrator must ensure that the lodge complies with all relevant laws and organizational policies. They are responsible for submitting reports and recommendations to the Board of Officers for approval.
Qualifications:
Experience: Previous experience in administrative roles, preferably within a non-profit or fraternal organization, is preferred.
Skills: Strong organizational, communication, and financial management skills are essential. Proficiency in record-keeping and familiarity with meeting protocols are also important.
This role is crucial for the effective operation of the Moose Lodge, ensuring that all activities align with the organization's goals and that members are engaged and informed.

Job Title: Lodge Administrator

Summary
The Lodge Administrator plays a vital role in the successful operation of the Lodge. This position is responsible for overseeing the day-to-day administrative functions of the Lodge, ensuring compliance with all applicable laws and regulations, and supporting the Lodge's mission and objectives.
Key Responsibilities
Legal Compliance:
Ensure the Lodge operates in full compliance with all relevant state and federal laws.
Advise the Board of Officers on legal and regulatory matters.
Governance & Administration:
Understand and adhere to the Lodge's bylaws, rules, and regulations.
Assist with the preparation and execution of Lodge meetings, including recording minutes and maintaining accurate records.
Oversee membership recruitment, retention, and administration.
Manage all aspects of Lodge finances, including budgeting, accounting, and financial reporting via QuickBooks Online.
Ensure timely filing of all required tax returns and other financial reports.
Obtain and maintain all necessary licenses and permits for Lodge operations.
Maintain accurate and complete records of all Lodge activities, including membership, finances, and meeting minutes.
Manage Lodge insurance policies, ensuring adequate coverage for all risks.
Oversee the maintenance and upkeep of the Lodge building and its facilities.
Provide general information to members and the public regarding Lodge activities and services.
Support to Board of Officers:
Provide administrative support to the Lodge's Board of Officers, including scheduling meetings, preparing agendas, and distributing information.
Assist the Board of Officers in making informed decisions by providing relevant data and analysis.
Qualifications
Proven experience in administrative or managerial roles.
Strong understanding of non-profit organizations and their operations.
Excellent organizational and time-management skills.
Proficiency in Microsoft Office Suite or similar software.
Strong communication and interpersonal skills.
Ability to work independently and as part of a team.
